Start with groups, not a long list
A wedding has hundreds of small tasks, but they fall into a handful of groups: venue and vendors, catering, guests and invitations, attire, and the day-of schedule. Create one group per area so nobody has to scroll through everything to find their part.

Give every task exactly one owner
Shared responsibility usually means nobody follows up. Assign one person to each task, even when others help. The owner is simply the person who makes sure it is finished.
- Put contract and deposit deadlines on the calendar first because they cannot move.
- Name tasks by outcome, such as “Confirm final headcount with caterer.”
- Attach quotes, contracts, and inspiration images to the task they belong to.
Bring family and helpers in without chaos
Invite people to the board with a QR code or direct invitation and approve each request. Give helpers a member role so they can update their own tasks, and give relatives who only want to follow along a viewer role.
Run the day-of from the same board
Create a day-of timeline as tasks with times and owners, then share it with vendors and helpers. When the plan you used for months is also the schedule for the day, there is no last-minute handoff to a new document.
