Invite people and keep access organized
Use QR invites, join approvals, and member roles to get people into the board quickly without losing control.
Share the board with QR invites
Every board can generate a QR invite. This is the easiest way to get groups into QuicklyTask when some people are joining from a printed handout, a projector, a group chat, or an in-person meeting.
QR invites work especially well for events and volunteer teams because they remove the usual friction of copying links, searching for the right app, or asking where to sign up.
- Open the board invite tools and generate the QR code
- Share it in person, in slides, or inside your group chat
- Ask members to join the exact board they need, not a general workspace first
Approve requests instead of opening the board to everyone
Join approvals let the board stay private while still making onboarding fast. People request access, and an owner or admin accepts them when ready.
This matters most when the board contains vendor details, budgets, client files, or internal notes that should not be visible to every person immediately.
- Review pending join requests regularly
- Decline duplicates so the member list stays clean
- Approve people with the lowest role that still lets them do their job
Choose the right role for each person
Use Owner for the person accountable for the board, Admin for trusted coordinators, Member for people actively doing work, and Viewer for clients, sponsors, or family who only need visibility.
Good role discipline keeps the board calmer. Fewer accidental edits means less cleanup and more confidence for everyone.
- Owner: final control over board settings and membership
- Admin: helps manage work and people
- Member: updates tasks, comments, and files
- Viewer: tracks progress without changing the plan
